Equipment Coordinator

Job Description

Calling all Grads!!  Come join our Mississauga Client a leading global brand AV Event supplier as their next Equipment Coordinator.  

The Coordinator plans all equipment aspects of the event from the time the order comes in, equipment fulfillment, support in trouble shooting with the onsite team from the warehouse if needed, ensuring the onsite team has checked the equipment back in and it is in top-notch working order. The coordinator ensures cost-efficient, and most importantly, that the equipment can deliver to expectations in any event space in the world delivering an impactful experience for our clients.



  • Oversee the logistics coordination of at least 700 events per year
  • Own the equipment coordination aspect of an event, from choice of equipment to success metrics
  • Keep financial and timelines under control at all times
  • Develop an actionable plan for managing equipment, labour and cost of sales
  • Comply with all federal, provincial, and municipal legislation
  • Gain a complete understanding of the requirements for each event
  • Coordinate all equipment needs from wires to lighting for day-of logistics
  • Review upcoming orders in ERP system to ensure all equipment requirements are met
  • Identify equipment shortages and request equipment stock transfer request/cross rental request
  • Plan and coordinate the maintenance and repair of equipment for market
  • Provide input to future equipment purchases at local level
  • Provide input on kitting practices


Job Requirements

  • Demonstrated experience in equipment coordination in a corporate environment
  • Able to develop, review and maintain metrics and equipment audits
  • Fluent with Order Entry Software and MS Excel
  • Ability to work well under pressure, adapt to changing priorities/needs and meet deadlines
  • Positive attitude with the ability to interface directly with cross-functional teams
  • Commitment to exceptional customer service / exceeding client expectations
  • Strong organizational skills
