Position: Clerk II - Office Administration

Department: Business Development - Chiropody

Status: Temporary Part-time for approx. 6 months with potential to become permanent (must provide availability of up to a .8 FTE)

Hours: Monday to Friday - Shifts range from 4-8 hours, potential evening shift per week until 7 p. m (Hours are subject to change based on operational needs) 

Site:  Oakville Trafalgar Memorial Hospital and the offsite Oakville Hospital Footcare and Orthotic Centre  - 461 North Service Road, Oakville 

This is what you'll be doing:

Front and back office clerical functions including patient reception and registration, appointment scheduling, processing of payments, monthly billing, communication with physicians, staff, patients, suppliers and visitors as well as telephone enquiries. Other general office duties as assigned.

  • Office administration diploma from a recognized college required (recent equivalent experience may be considered)
  • Minimum of 2 years of experience working in a comparable position preferred
  • Minimum of 30 wpm typing speed required
  • Proficient in the use of Microsoft Office applications including Outlook, Word, and Excel
  • Experience with monthly invoicing and month end reporting preferred
  • Excellent customer service skills and problem resolution skills
  • Experience using patient related databases would be an asset, e.g. Meditech
  • Excellent verbal and written communication skills
  • Must have fast and accurate data entry skills
  • Must be able to prioritize workload and function independently in a busy environment
  • Excellent interpersonal and organizational skills
  • Inside or outside sales an asset
  • Able to diplomatically respond to inquiries from staff, volunteers, patients, family members and members of the general public
  • Must be able to read, write, speak and understand English fluently
  • Must be physically able to perform the job: prolonged periods of time sitting; standing; walking; and pushing and pulling variety of wheeled equipment.
  • Satisfactory employment and attendance record required
