Reporting to the ICP Manager, the ICP Administrator performs the administrative functions for their assigned Program. Responsibilities include activities such as data entry, maintaining patient database, sending basic correspondence, inbound call triaging, receipt processing and/or processing co-pay requests. These steps are critical to the progression of patients through their program experience.



  • Performs general administrative tasks such as handling the mail, typing, and maintenance of filing systems.
  • Triaging inbound written communications.
  • Create and maintain patient records in the database by ensuring information documented is accurate and updated regularly.
  • May assist daily with triaging inbound calls based on program coverage needs.
  • Liaise with the scheduling, clinics, patient support programs and pharmacy divisions
  • Maintain accurate data in patient files and computer drives.
  • Liaise with manager to ensure administrative KPIs are met.
  • Maintain workflow through effective task prioritization and teamwork.
  • Prepare and process billings, claims, reimbursements and related documents.
  • Assists with a variety of scheduled and unscheduled projects occurring in the department at any given time.
  • Reviewing the data logger, audits and track follow up.
  • Preventative maintenance data entry and coordination.
  • Maintains and promotes positive and professional working relationships with associates and management.
  • Complies with all appropriate policies, procedures, safety rules and regulations.
  • Ability to cover various shifts, with priority given to the afternoon shift.
  • ICP Administrator will also be assigned other duties and tasks as required from time to time.

  • Knowledge of pharmacy and clinic operations an asset.
  • Excellent communication, customer service and interpersonal skills.
  • Ability to work independently and in a team environment.
  • Excellent time management skills.
  • Proven accuracy with processing large amounts of data.
  • Bilingualism, French/English is mandatory.
  • Minimum 3 years of customer service experience.
  • Minimum 2 years of experience in a similar administrative or data entry role.
  • Strong analytical and mathematical skills.
  • Ability to communicate proficiently both orally and in writing in French and English with excellent syntax and grammar in both.
  • Experience with faxing software (MyFax) an asset.
  • Effective organizational skills; prioritization skills; attention to detail is critical.
  • Ability to consistently meet deadlines.
  • Previous experience with reimbursement navigation is an asset.
  • Excellent problem-solving skills; ability to resolve issues effectively and efficiently.
  • Knowledge of Microsoft Word, Excel, PowerPoint and other Office Programs.
