Facilities Office Ambassador - Full-Time
Job Description

Purpose of the Job

First impressions are everything!  As a Facilities Office Ambassador you have the opportunity to provide an exceptional employee experience like no other. The Facilities Office Ambassador function is accountable for the general upkeep of Meridian’s corporate office by keeping the space aesthetically pleasing and highly functional through regular daily walkthrough inspections and promptly addressing customer requests as they arrive.

Outside of the regular cleaning service, this position will setup meeting rooms by request which includes ordering of food or snacks and placing all associated dishware to ensure a professional presentation.  All common areas (meeting rooms, kitchens, the plaza, quite rooms etc.) will be kept fully stocked and neat.

The Facilities Office Ambassador is a highly organized individual with an eye for design, and the small details. A self-empowered individual who inspires everyone around them and clearly demonstrates their pride for the entire office look and feel. 

Key Responsibilities

  • All Corporate Office kitchen areas are maintained by:

    • Dishwashers are loaded and unloaded at least twice per day (more if volume requires)

    • Each kitchen is to be fully stocked with dishware, silverware, paper products, coffee, tea, hot chocolate, etc. and stock is to be maintained throughout the day

    • Kitchen countertops, sinks, kettles, coffee makers, appliances and other surfaces are cleaned daily

    • Empty waste bins if full prior to cleaners completing in the evening

  • Complete daily walking patrol and inspections of all facilities and address issues or log tickets for items that need external vendors to support.

  • Manage content of all corporate information sources; bulletin boards, video screens, information sites

    • Lift, move and deliver boxes and items to appropriate locations in the building / complex

    • Any maintenance issues requiring external vendors are logged in Service Now

    • General spill cleanup, surface cleaning of walls, windows, blinds, etc.

    • Sweep, mop and vacuum floors

    • Fully open all exterior blinds

  • Complete walk-throughs of all shared spaces (meeting rooms, havens, picnic tables, kitchens, quiet rooms) to ensure office is business appropriate at all times. This is done in the morning and then throughout the day to ensure space is clean, stocked and setup based on defined standards, including:

  • White boards, table tops, TVs, inside cable trough are all clean

  • Correct furniture is in area and chairs and blinds are at desired height

  • Markers, dongles, cabinet contents are stocked and in place

  • Any garbage, leftover dishes or food are removed

  • Ensure vending machines are stocked

  • Print areas (counter, drawers and bulletin board) are kept tidy and organized

  • Set up meeting spaces as per requests, this includes:

  • Special equipment and help with technology setup

  • Arrange different furniture layout with additional or less furniture than standard

  • Order, deliver and setup meals including dishes, glasses, coffee, drinks, water etc.

  • Return room to original standard following meeting

  • Maintain safe working environment and follow the facilities health and safety procedures

  • Hours of Work are 7:30 a.m. – 4:00 p.m. Monday to Friday

  • Provide back-up support for Receptionist and Mail Room Coordinator

  • Perform other duties and special projects including but not limited to meeting and conference room set ups, building occupant moves, minor building repairs/clean up and furniture assembly, etc.

Knowledge, Experience and Skills

Knowledge

  • College or University graduate of Hospitality program

  • WHMIS certified - Ability to safely utilize a wide array of custodial and general cleaning chemicals

  • Safe operation of custodial equipment (vacuum, backpack vacuum, cardboard bailer)

Experience

  • Two or more years of demonstrated exceptional customer service experience

  • One or more years of custodial work experience

  • Service Desk and ticketing system experience is an asset

Skills

  • Superior service orientation and customer focus

  • Ability to communicate effectively and respond professionally to questions and requests from customers

  • Effective written communication skills using appropriate business English

  • Thrives in a fast-paced environment and when priorities compete, effectively prioritizes then moves will agility from one task to another

  • Effectively handles crisis situations in a calm and methodical manner using demonstrated problem solving and common-sense skills

  • Ability to meet tight deadlines and schedules – always punctual and reliable

  • Tenacity to get the job done

  • Skilled in developing strong working relationships with contractors and consultants

  • Integrity – ability to safeguard all confidential information.

  • Confidence working both individually and as a part of a team

  • Ability to represent Meridian and Facilities by projecting a positive and professional image at all times

  • Strong aptitude to operate and quickly trouble shoot technology, such as audio conferencing, video conferencing, monitors, temperature settings, automatic blinds

  • Ability to read and understand labels and instructions, particularly on the use and application of cleaning products

  • Proficiency in MS Office suite (Outlook, Word, Excel), is required

  • Proficiency in Service Now is an asset

Other

  • Ability and willingness to work flexible or extended hours, as needed

  • Have valid driver’s license

  • Ability to lift over 25 lbs

  • Position requires moving large and heavy objects, standing, lifting and repetitive movement
