Put your mastery of administrative duties to good use as an Executive Assistant to a very busy President. You will have the opportunity to work in a challenging and rewarding environment where hard-work and quick thinking are rewarded. This Executive Assistant opportunity is located in Kitchener, Ontario area and is a full-time, full-time position.
On a typical day, you will provide confidential personal assistance to the President, which consists of the following duties:
• Preparing monthly expense reimbursement forms
• Providing confidential professional/ business assistance to the President
• Maintaining confidential business files, including personnel files
• Producing information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics for various project documents (ie. agreements/contracts, correspondence, memoranda, meeting minutes and PowerPoint presentations)
• Conserving the President’s time by reading, researching and routing email and ordinary correspondence; drafting letters on behalf of the President; collecting and analyzing information
• Prioritizing the President’s daily schedule (calendar management) and files
• Maintaining the President’s busy schedule by planning meetings, conferences, business events, teleconferences and making travel arrangements
• Preparing the President for meetings
• Welcoming guests, clients and consultants in a professional manner
• Maintaining confidence and protecting operations of the business by keeping information confidential
• Acting as point of contact with clients, consultants, executives and staff
• Providing ad-hoc additional administrative support, as required
• Carrying out any other general administration and assistant duties as required by other managers
Job Requirements
• College degree, post-secondary education, or equivalent
• A minimum of 10 years of experience as an Executive Assistant within the construction industry
• Experience in the Insurance industry, and/or Legal Admin/Legal Clerk experience is an asset
• Very strong systems experience: Microsoft Office, PowerPoint, Excel and Word
• Excellent written and verbal communication skills are essential
• Ability to demonstrate a high level of confidentiality and discretion at all times
• Problem solving skills, and the ability to work in a dynamic fast-paced environment
• Ability to work on own initiative
• You must demonstrate strong sense of urgency, have a positive attitude, have a pro-active approach, a strong work ethic, be confidential, able to work in a team setting, be professional and diplomatic, and have an ability to lead and adapt
• Strong organizational and time management skills to meet or exceed assigned deadlines
• Flexible and be willing to work after hours, if required
• Thrive in a position that will allow you to make a significant contribution to the ongoing growth and profitability of the Company’s operations
