On behalf of our client in the Financial Services Sector, PROCOM is looking for a Senior Project Control Officer.

Senior Project Control Officer – Job Description

Project Control related duties (75%)

  • Collect and consolidate project status data and validation of reporting requirements
  • Follow-up on team member delivery of status reports, etc. on time. Identify problems / issues and escalate as appropriate
  • Maintain project schedules, and control logs RAID/RACI/PCR.
  • Ensure all final decisions and approvals are documented and archived
  • Manage reconciliation process for project budget verification and update forecasts in the project budget and resource management tool – monthly
  • Proactively manage issues regarding project finances, budgeting, actuals, variances, and accruals with project team stakeholders
  • Maintain the project dashboard with project updates and provide project status reporting support to the PMO (for portfolio reporting).
  • Provides support and reporting requirements for activities associated with project governance
  • Log, monitor and control project change requests, and ensure transparency regarding their impacts and variances for budget, schedule, and business case benefits
  • Manage project documentation; ensure final approved, version controlled required documents and exemptions (where applicable) are archived in the central repository.
  • Prepare documents for various recurring meetings including minutes, issue logs
  • Prepare project status presentation documentation as required
  • Coordinate and book project team and steering committee meetings

Risk and Compliance (15%)

  • Ensure compliance with HTC policies and procedures
  • Ensure project risk assessment deliverables and conditions (identified in NIRAP) are integrated with the project schedule and RAID log and are actively managed until they are closed.
  • Follow the HTC Project Management Methodology and ensure all exemptions regarding project deliverables/documentation are approved and archived for audit purposes.

Administrative duties (10%)

  • Manage on-boarding/off-boarding of project resources and coordinate with PMO Governance
  • Ensure project resources are entering their time in the Resource Management tool - PlanView Pro, and that their hours are being validated and submitted each week

Senior Project Control Officer – Mandatory Skills

  • Post-secondary diploma or degree in technology, business or related field with a focus on information technology
  • Project Management and/or Finance background an asset
  • PMP certification
  • 8+ years of project control management coordination and support experience for technology/delivery projects
  • Project financial and budget management
  • Managing project workstreams for medium-to-large projects
  • Expert Microsoft Office Excel, Microsoft Project, PowerPoint and Visio
  • EPPM (Planview, Clarity, MS EPPM) an asset
  • Knowledge and experience in maintaining project plans, reports
  • Strong understanding PMLC/ SDLC methodology and processes
  • Solution-focused and takes initiative to work effectively and efficiently within established guidelines
  • Strong organizational, time management, analysis and attention to detail and follow-up with project stakeholders
  • Ensures full transparency regarding Project Change controls and RAID log management; escalates issues to Project Manager where appropriate
  • Excellent documentation management (end-to-end)
  • Well developed negotiation, influencing, interpersonal relationship building and listening skills
  • Excellent written / verbal communication, documentation skills and professional maturity
  • Able to effectively prioritize, multi-task and flourish in a fast paced, deadline-driven work environment
  • Consistently demonstrates and reinforces organizational values
  • Excellent knowledge of MS Office and other related technology requirements
