Project Control Specialist
Job Description

About the role:

This role will be responsible for supporting a wide variety of work within the Enterprise Project Management Office.  Reporting to and providing direct support to Director, EPMO the role focuses on analysis and reporting across the portfolio, coordination of portfolio financial updates and helps ensure projects are managed with PMO standards and methodology. The role works closely with EPMO team members and other stakeholders and requires the ability to build strong working relationships; acts as the key liaison between the EPMO and internal stakeholders. A working knowledge of project management methodologies and a clear understanding of project management best practices is preferred.  Specific responsibilities will be expanded over time as the PMO services mature to meet the needs of our evolving organization.

Responsibilities include but not limited to: 
 

Manage Portfolio Reporting and Financials:

  • Creation or maintenance/analysis of various reporting requirements for PMO team, ELT and/or Board
  • Establish and maintain a ‘master’ view of portfolio to highlight major milestones across all projects  to help Director, PMs,  and other key stakeholders understand & better manage interdependencies
  • Coordinate efforts with PMs to identify, manage, track & report against all project milestones and across the whole portfolio
  • Collect required financial data monthly provide monthly ELT updates on actuals, forecasts and newly approved budgets, and tracking against Strategic Initiative Pool
  • Manage monthly reporting cycle of required EPMO reporting;  track reporting schedules and advise PMO of due dates, prepare deck and cover note
  • Maintain oversight and coordination into newly approved CEO Exception initiatives and related tasks
  • Manage Non-EPMO Managed Initiative reporting;  advise Business of due dates, collect initiative status and budget updates, and consolidate into EPMO Portfolio update

SharePoint Site Administration and Audit:

  • Act as content ‘owner’ for EPMO team site
  • Administers all new project sites and site maintenance to support the PM team
  • Continuously incorporate best practices and evolve SharePoint usage within the team, with support from the IT SharePoint team as required
  • Conduct regular reviews of all project sites to ensure adherence to EPMO standards and alignment to team goals and COBIT & IAS quality control standards

Phase 0 Administration:

  • Support the Director, EPMO in management and coordination of Phase 0 cycle and processes:
    • Schedule meetings, collect and post pre-reads materials with committee members
    • Attend meetings and take minutes (decisions/risks/issues/concerns/action items/timelines)
    • Collect & collate estimates and liaise with Business Owner to gather information required to complete the Business Case
    • Pull the initial estimate report and have Business Owner review to ensure all relevant stakeholders have provided input
    • Conduct follow up as necessary
    • Pull final report to be included in Business Case, including effort, resource names, and availability
  • Maintain the Phase 0 team site; add new initiatives, update the pipeline schedule, meeting calendar and distribution list

Other Duties:

  • Support PMO team by providing PM support for inflight initiatives during vacations or as deemed necessary
  • Champion process improvement opportunities for the EPMO
  • Act as 1st point of contact for all EPMO inquiries with internal stakeholders
  • Contribute to evolving EPMO best practices and maturing templates and methodology
  • Act as event planner for team meetings, engagement sessions and team building sessions

Qualifications and Skills

  • Exceptional communication abilities to tailor messages to different audiences (both verbal and written)
  • Highly analytical and detail oriented with the ability to communicate findings and recommendations to executive audiences
  • Excellent organizational skills with the ability to manage through ambiguity
  • Proactive action driven and able to work autonomously
  • Quick to learn, flexible, creative, and the ability to solve problems
  • Hands-on, pragmatic, results and detail-oriented
  • Resilience and the ability to effectively prioritize and execute tasks in a high-pressure, rapidly changing environment is crucial
  • Exceptional relationship building and collaboration skills
  • Proven commitment to the practice of project management and enthusiasm to support the evolution of the EPMOs mandate and processes

Experience & Education

  • College or University degree or related experience
  • Coordinator/Analyst experience with 1+ years’ experience in a project or PMO environment desired
  • Certified Associate in Project Management (CAPM) or Project Management Professional (PMP) an asset
  • Expert user of Microsoft Office products, specifically Excel, Word, PowerPoint, Visio
  • Proficient SharePoint user and administrator (preferred)
  • Knowledge of PMI Project Management & SDLC best practices, processes and procedures an asset
  • Budgetary & project cost management experience an asset
  • Process improvement experience an asset
