IT Asset Analyst - 6 Month Contract
Job Description

Purpose of the Job:

Supporting the Senior Manager to oversee, develop and continuously improve the IT Asset management program for the organization. Responsible for tracking assets throughout their life cycle from procurement to disposal.  The IT Asset Management Analyst will perform asset management reviews and audits of assets ensuring consistency and compliance with policies, procedures, and workflow guidelines.

Key Responsibilities:


  • Assist with the development of the IT asset management program
  • Proactively develop asset management processes, procedures and policies to promote consistency and accuracy of asset management related activities
  • Administer hardware/software asset standards (i.e. maintain list of standard approved hardware and software with costs, maintain vendor lists, and keep accurate asset inventories)
  • Assist the IT Controller with the processing of invoices, expense allocation and tracking as well as escalations of billing issues
  • Monitor inventory thresholds and initiate procurement as appropriate to retain target volumes
  • Provides inventory reports or other important KPI reports related to assets
  • Works closely with configuration management to ensure important assets are tracked as configuration items and asset data is meaningful and accurate


  • Places orders with suppliers for approved hardware/software requests and track through receipt and billing
  • Evaluate asset requests, purchasing, receiving and reconciling shipped goods with purchase orders, evaluating the condition of goods on receipt, and coordinating delivery of the goods to the requesting entity or inventory room
  • In cases where equipment is subject to return, contact vendor for Return Merchandise Authorization (RMA) number, return to vendor, and complete return processing
  • Provides access to asset records to enable audit by departments/organizations that are receiving charges for depreciation, license fees, etc.
  • Verifies removal of sensitive data on devices such as laptops/desktops when they are retired / disposed


  • Develop and maintain productive work partnerships with external vendors/suppliers in order to deliver proactive genuine service and adhere to our vendor management program. Ensure commitments are met and delivered on time, and our solutions are constructed in a cost effective and business focused manner
  • Make recommendations for improvements within the asset management processes
  • Provide constructive feedback to management and co-workers
  • Manage expectations of customers and vendors, and set realistic and achievable objectives for the area of subject matter expertise
  • Prepare ad hoc reports as required
  • Collaborate with multiple teams. Occasionally also required to assist with small to medium sized, cross-functional projects

Knowledge, Skills and Experience:


  • Strong interpersonal skills – able to interact with and build effective relationships at all levels of management and staff
  • Strong time management skills - able to prioritize and plan workload, to meet deadlines in a dynamic, fast-paced environment, and to adapt to changing business needs with innovative solutions – able to manage multiple and sometimes competing priorities simultaneously
  • Strong written and verbal communication skills with ability to negotiate effectively
  • Strong analytical and methodological skills
  • Service oriented and customer focused, with a passion for introducing cost-saving and process improvement initiatives
  • Results oriented with the enthusiasm and tenacity to motivate self to meet and exceed goals and targets


  • 5 years related industry/professional experience, with preference for 1+ years previous experience in an IT environment
  • A minimum of 2 years proven experience and knowledge of business and project management principles, methods and techniques


  • Working knowledge of IT Asset Management (ITAM) and IT Service Management  (ITSM) principles and practices
  • Deep professional who has the subject-matter expertise and experience to be a highly effective internal consultant
