Executive Assistant - Full-Time
Job Description

Purpose of the Job:

Supporting the Chief Operating Officer (COO), the Executive Assistant will be responsible to apply the principles of service excellence as a genuine partner to the COO in a high degree of discretion and professional judgement and proactive executive support.  The ideal candidate will possess exceptional multi-tasking abilities, be highly organized, detail-oriented, able to work with minimal direction and have exceptional communication and written skills.

Key Responsibilities:

  • Work with the Chief Operating Officer to form an efficient and effective team and provide superior executive administrative support to the COO so they can be as functioning as possible.
  • Extensive calendar management with a focus on scheduling preferences and resolving conflicts with constant change, while keeping the COO and others informed of last-minute schedule changes as required.
  • Email management which includes reviewing and responding to emails as required and flagging any urgent matters that require the COO’s attention.
  • Travel arrangements including conference registration, booking flights and hotel accommodations.
  • Prepare and submit expense reports.
  • Develop and maintain strong relationships with the Senior Leadership Team (SLT) and their respective areas.
  • Maintain deliverables spreadsheet for the COO and his SLT to ensure all deliverable deadlines are being met.
  • Track, record and prioritize all items requiring action and ensure follow-up in a professional and timely manner.
  • Review all reports prepared for Board Committee Meetings and Executive Meetings for format, grammar, spelling and editing as necessary.
  • Take the lead in coordinating agendas for the COO SLT meetings, creating pre-read packages for distribution and recording minutes.
  • Ensure you are familiar with the Business priorities the COO is involved in, such as, acquisitions, Credit Union matters, and cross-functional projects.
  • Become familiar with Meridian’s business operations in order to communicate with various internal departments and to liaise with external parties in administrative matters on behalf of the Executive.
  • Stay adaptable and flexible to the changing needs of the COO and ensure high levels of confidentiality are demonstrated.
  • Collaborate with and provide back-up assistance to other Executive Assistants when required as a member of the team.
  • Provide additional ad-hoc support to the COO’s Senior Leadership Team as time permits.

Knowledge, Experience and Skills:

  • A minimum of 5 - 7 years’ experience as a professional Executive Assistant or Senior Administrative Assistant, having supported senior level Executives, in a medium/large corporate environment or similar related experience.
  • Completion of relevant post-secondary studies.
  • Exceptional MS Office suite skills (Outlook, PDF Professional, Word, Excel, PowerPoint, Visio), SharePoint and the ability to learn new systems as required.
  • Proven superior organizational and time-management skills.
  • Highly professional demeanor, poise, confidence, maturity, and exceptional interpersonal relationship skills with the ability to communicate effectively with Executives, Board Directors and external partners.
  • Effective in multi-tasking in a high-pressure environment, with the foresight to plan ahead, anticipate changes, evaluate, interpret, use sound judgment and respond in a proactive manner.
  • Possess the ability to think strategically and to take initiative to maintain the Executive’s office at a superior level of efficiency and competency.
  • Able to work independently with minimal supervision and with ambiguity, within a team environment.
  • Exceptional written and verbal communication skills.
  • Demonstrates the ability to maintain confidentiality and deal with highly sensitive materials and situations.  The incumbent will have access to confidential and sensitive information concerning the business of Meridian, motusbank, OneCap and the operation of the Board of Directors.  This will require the ability to exercise excellent judgment and to act at all times with discretion, tact and diplomacy.
  • Able to adapt and respond to a changing environment using creativity and innovation; takes ownership for own performance and development.
  • Acts in a proactive manner, not waiting to take necessary action or to be asked to assist others. 
  • Knowledge of Meridian’s business objectives, key products, brand promise, key public and private business associates of Meridian, Executives and CEO.
  • Team player and solution/service oriented with a “can-do” attitude.
  • Demonstrates personal Leadership attributes, including strong interpersonal and service skills, organizational ability, tactical problem solving, business analysis, acquiring new skills and knowledge. Ability to quickly prioritize and resolve critical issues as they arise.
  • Will take responsibility for continuous learning to achieve required knowledge for the job, demonstrating a willingness and eagerness to continue to grow personally and professionally.
