Asset Financial Analyst - Full-Time
Job Description

Purpose of the Job

To maintain, and continuously improve the administration of financial functions (capital, expense administration; IT procurement, license compliance, etc.) within the IT Asset & Service Management department in support of the O&T leadership committee. 

To act as the subject matter expert for the Asset Management team by providing asset and financial management knowledge. 



 



Key Responsibilities and Accountabilities

Management and Decision-Making

  • Actively contribute to the IT Asset Management leadership team contributing to the group’s vision, fostering synergy, productivity and efficiency within the group.
  • Monitor team adherence to corporate and department policies, standards, and procedures.
  • Align work assignments and schedules to business and department priorities.
  • Identify opportunities to improve productivity within the team

Service

  • Coordinate and manage the annual budget process for operating and capital expense budgets, including regular variance analysis and reforecast. Meridian, motus bank and OneCap
  • Ensure policies and procedures are in place and continually updated.
  • Ensure current processes are relevant, effective, and seamless.
  • Process invoices and manage Vendor billing issues.
  • Lead annual electronic variance process for all software assets and produce related software licensing compliance reporting.
  • Ensure Security policies and procedures are followed for all asset disposals, and that changes are reported to the Financial Accounting team.
  • Establish and maintain protocols for maintenance of O&T operating and capital budgets, keeping actual to budget details current and balanced.
  • Maintain specialist knowledge of budget categories, content, and associated GL accounts, and meet all functional Service Level Target’s to

internal customers.

  • Procure (requests/approvals/PO’s/receipt/invoicing) all IT and Strategic Project assets adhering to Corporate and Departmental (IT) procurement policies.
  • Support the IT Asset Admin role for vacations (shipping and receiving, lifting hardware up to 25lbs)

Communications

  • Maintain effective and cooperative working relationships with internal business partners and customers, and with vendors.
  • Manage expectations of customers and vendors, and set realistic and achievable objectives for the area of subject matter expertise.
  • Prepare ad hoc reports as required by CIO, VPs, Directors and Senior Managers

Impact

  • Contribute to 24/7 availability of all core business services – clear understanding of the business impact of loss of service or failure to comply.
  • Assist COO, VP, Directors and Senior Managers to manage a complex multi-vendor service environment at head offices and branches.
  • Occasional requirement for unsocial hours.

Knowledge, Experience and Skills

Skills

  • Strong interpersonal skills – able to interact with and build effective relationships at all levels of management and staff.
  • Strong time management skills - able to prioritize and plan workload, to meet deadlines in a dynamic, fast-paced environment, and to adapt to changing business needs with innovative solutions – able to manage multiple and sometimes competing priorities simultaneously.
  • Strong written and verbal communication skills with ability to negotiate effectively.
  • Strong analytical and methodological skills.
  • Service oriented and customer focused, with a passion for introducing cost-saving and process improvement initiatives.
  • Results oriented with the enthusiasm and tenacity to motivate self to meet and exceed goals and targets.

Experience

  • 7 years related industry/professional experience, with preference for 5+ years previous experience in a Finance and IT environment.
  • A minimum of 3 years proven experience and knowledge of business and project management principles, methods and techniques.

Knowledge

  • Degree or diploma in Financial Accounting (or acceptable equivalent), with working knowledge of IT and ITIL principles and practices.
  • Deep professional who has the subject-matter expertise and experience to be a highly effective internal consultant.
