Description

Our company is seeking an Administrative Assistant to manage the office, supervise staff and handle duties for upper management. We are looking for an individual who is efficient and comfortable being a member of a team. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.

Requirements

ABOUT YOUR ROLE

As Administrative Assistant, Facilities and Administrative Services you’ll

 Coordinate administrative services that are generated by employee moves and status changes; for example, physical preparation of work stations, distribution of office equipment and supplies, assistance with taking photos and visiting sites, etc.;

 Answer various service requests;

 Cover reception desk, if required;

 Reserve rooms through the system in support of the room management team;

 Coordinate access card management;

 Update floor plans and the Administrative Services intranet page;

 Perform clerical tasks, such as drafting and formatting of documents, data entry, etc.;

 Perform bank reconciliations;

 Perform all tasks related to the Administrative Services’ mission.


WHAT WE’RE LOOKING FOR
 

 Diploma of vocational studies in office administration or administration, or an equivalent combination of education and experience

 College degree, an asset

 Minimum of two years of relevant experience, among others, as a receptionist or office clerk


WHAT YOU’LL NEED
 

 In-depth knowledge of the MS Office suite (Word, Excel, Outlook, PowerPoint)

 Ability to learn how to use new software quickly

 Customer-oriented service

 Versatility and strong organizational skills

 Autonomous with a sense of initiative

 Team player and ability to establish good relationships

 Judgment, discretion and courtesy

 Ethical and professional integrity
