Working with our client, a company within the marketing and manufacturing industry, OfficeTeam is actively looking for a results-driven and professional Executive Assistant to join their team to provide support to the CFO. The successful individual thrives in a fast-paced environment and possesses the ability to effectively handle demanding, rapidly changing priorities. Primary responsibilities for the role may include, but are not limited to the following:

* Calendar management, including scheduling appointments and ensuring the Executive is prepared for and on time for all engagements, including the preparation of all necessary materials
* Handle complex travel arrangements – accommodations, domestic and international flights, documents for meetings, etc.
* Expense reporting for CFO, senior team members, and Board members
* Assisting in the management of the Senior Finance Team
* Oversee the Board and Audit Committee meetings each quarter - management, compilation and distribution of meeting materials, catering, etc.
* Some personal errands, as requested
* Event Management – team summits, AGMs, ad hoc events, Board dinners, annual industry events, road shows, investor meetings, etc.
* Coordinating yearly team performance reviews in person and in Workday
* Assisting in the preparation and updating of investor presentations
* Assisting in preparation of the Annual Report and Business Segment Report
* Communicating with analysts/investors to schedule meetings and calls

Job Requirements


* 5-7 years’ experience in administrative support in a public company and at least 2 years supporting VP level or above
* Must have supported CFO in a public company
* Experience with all aspects of financial reporting
* Excellent interpersonal and communication skills, both verbal and written
* Excellent attention to detail and follow-through skills
* Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information .
* Advanced proficiency in MS Outlook (email, calendar, contacts) as well as experience in productivity tools such as MS Office (Word, PowerPoint, Excel)
* Sound judgement and the ability to make decisions quickly
