OfficeTeam is looking for an Administrative Assistant to join their client’s team in the food retail industry. As the Administrative Assistant, you will be supporting the team by data entry of purchasing information, analyzing discrepancies, correspondence and follow ups as well as vendor contact processing markdowns. This great opportunity is in Maple, Ontario and is a full-time position. The responsibilities for the Administrative Assistant may include but not be limited to the following:


  • Assist and carry out physical stock counts
  • Communication with the Department Managers on the precision of on hand data/inventory counts
  • Accurate processing as well as data entry of sales orders, receiving and adjustment documents & excel spreadsheets
  • Follow through with suppliers on order confirmations/delivery date confirmations
  • Correctly match invoice data to all sales documents
  • Communication with the Receiving Departments on accuracy of received/miss picked/missing product documentation, schedule product pickups and off date deliveries as needed
  • Communication with the sellers on incorrectly entered invoices, price adjustments, missing/miss picked product, schedule product pickups and off date deliveries as needed
  • Answer, screen and direct phone calls, accurately take down messages as needed
  • Follow through with vendors on scheduled appointments and meetings as needed
  • General office/clerical duties including filing, organizing and tracking office documents, faxing, scanning, composing and editing correspondence (i.e. e-mail), including any other form of data-entry as needed
  • Communicate with Accounting Department concerning invoices/credit requests as needed
  • Assist in the preparation of regularly scheduled and ad-hoc reports

Qualifications:

  • 3 or more years of experience
  • Food retail industry experience
  • Strong attention to detail and organizational skills
  • Excellent communication skills both verbally and written
  • Strong knowledge of MS Office
  • Fluent in both English and Russian
  • Ability to work in a fast-paced environment
