Job Description

We are looking for an experienced Administrative Support who will join our long term engineering project lead by ADGA.

Tasks will include:

  • Prepare documentation and correspondence.
  • Provide written reports documenting internal development, initiatives and activities.
  • Provide administrative support to a large group.
  • Support the audit of claims for both internal and external personnel. 
  • Support the production and delivery of briefings.
  • Support the production and tracking of monthly and yearly budgets, using Microsoft Word, Excel, PowerPoint and other office automation applications.
  • Perform document and file management functions, which includes e-filing.
  • Enter and process data in databases and spreadsheets using predetermined formats and processes; and
  • Perform any other work related to this category.

  • The ideal candidate will have a Bachelor's degree in Business Administration, or a  College Diploma in Business Administration, or suitable field 
  • At least 1 year of demonstrated experience within the last 5 years in the preparation of technical concept documents, system specifications, and technical proposals in the field of Information Technology, Information Management or Engineering.
  • At least 1 year of demonstrated experience (the ideal candidate will have at least 3 years) with at least 4 of the following tasks:
    • using MS Office (Word, Excel, Access, Outlook and PowerPoint)
    • providing administrative assistance - including building pass preparation, filing and project documentation control.
    • processing travel - including car rentals, accommodations and flight bookings.
    • performing work accounting - such as time tracking, timesheet verification, report generation and database updating. 
    • performing cost accounting functions - such as tracking of project expenses (travel budgets/claims, and verification of invoices)

Additional Information

  • Contract length potential - 5 years with the potential for a multi-year extension. 
  • Must hold a valid 'Secret' clearance to start (will process for candidates that are being strongly considered) and will need the Controlled Goods Certificate at point of hire. 
  • Full grids/matrices will be provided on individual basis.
