The Opportunity:

Procom is seeking a seasoned professional to join our team as a Proposal Writer. Procom is one of North America’s leading staffing and contract workforce services providers.   • Lead project teams that deliver proposal responses with persuasive themes, pricing strategies and other elements to ensure winning bids
  • Work in a collaborative Client Management Services team that supports the efforts of account managers to respond to and serve customer expectations

The Role:

As Proposal Writer, your role makes a major contribution to the company’s performance. You will:

  • Organize and deliver corporate commercial capabilities:
    • Understand RFP and procurement language/processes to establish commercial strategies for qualifying, demonstrating compliance, and responding to customer requests
    • Prepare responses to RFP’s and sole-source procurement inquiries, in a timely fashion
    • Collaborate with the Legal and Finance & Admin teams, as well as Senior Management and regional account managers, to ensure external commercial responses and proposals are of the highest quality, compliance, and persuasiveness
    • Maintain a repository of pricing information, commercial terms and conditions and other corporate references to ensure Procom documentation is accurate and consistent with corporate standards
    • Deliver excellent written documentation on time, and subject to tight external deadlines
  • Act as commercial SME, with insights on how to respond to proposals and commercial engagements with customers
  • Maintain a well-organized and accessible knowledge base of pricing and commercial resources that make responses more likely to win, which may include:
    • Staffing markets and staffing clients
    • Competitors and their products/services
    • Public sector stakeholders, public policy drivers and political forces affecting the staffing industry

Responsibilities:

  • Be the go-to leader at Procom for proposal responses, pricing, and commercial info:
    • Perform detailed analysis of RFP/RFQ/RFI documents to assess requirements
    • Develop compelling proposal narratives that demonstrate the company’s value proposition
    • Maintain a detailed compliance matrix and schedule outlining the entire pursuit process
    • Author questions and clarify requirements to reduce risk/improve probability of winning
    • Ensure proposals properly address SOW, identify missing information, evaluate assumptions, identify risks, evaluate costs, ensure text and responses match requirements
    • Write key sections of proposals including “boilerplate” corporate references, solutions, project delivery methodologies and schedules (with ability to port from one RFP/document to the next)
    • Lead kick-off meetings, assign and coordinate sections, and project manage schedules
    • Work with regional account managers to deliver responses to customers
    • Collaborate with the Procom Legal and Finance & Admin teams to ensure all commercial responses meet legal, commercial, and financial standards of care
  • Provide insights on follow-up contract review and negotiation – to ensure the correct balance is achieved between meeting customer requirements and maintaining commercial and profit goals
  • Continually enhance boilerplate and proposal libraries in support of best practices, using a wide variety of proposal development tools and templates
  • Maintain permitted-accessible digital references on staffing markets, clients, competitors, other stakeholders, and applicable government legislation, etc.
  • Monitor procurement boards, external sites throughout North America, and all other sources of release to build the proposal funnel
  • Coordinate inbound commercial contracts and customer feedback to RFP responses, including initial assessment and processing, with handoff to appropriate internal decision makers
  • Maintain commercial sales tracking capability, and help to update/populate company CRM

Required Qualifications:

  • 5 to 10 years of experience in proposal writing, bid submission and RFP response
  • Extensive knowledge of RFP compliance, along with expert-level skills in bid response development, schedule management, formatting, pricing, and preparation
  • Experience in the staffing market and staffing solutions is an asset
  • Experience in a software solutions, SaaS and/or professional consulting environment is an asset
  • Ideal candidate has demonstrated experience as a commercial analyst or advisor to a sales team, by providing organization, authorship, and project management to RFP processes
  • Ideal candidate has demonstrated familiarity with the North American staffing market
  • Ideal candidate has a customer-centric vision of how competitive businesses win
  • Practical experience as a proposal writer with understanding of response strategy/tactics
  • Practical experience with writing and managing RFP responses of all sizes and dollar values
  • Practical experience with pricing directives, profitability metrics, commercial T’s and C’s, pricing options and considerations to optimize commercial value of proposal responses
  • Strong verbal and written communication skills, and negotiating to influence or impact
  • Strong experience in project management, scheduling, wrangling key contributors, driving toward and achieving deadlines
  • Knowledge of MS Word, MS Project, and related RFP creation tools
