Job Description

ADGA has a current opportunity for a Financial and Administrative Coordinator for one of our bilingual not-for-profit clients.  The Financial and Administrative Coordinator is an integral part of the team and administers the financial aspects of all of the organization’s core business functions. Responsibilities include but are not limited to full cycle accounting, preparation of financial statements, mandatory remittances, payroll, memberships and subscriptions processing.  This position also assists with the delivery of secretariat services and the financial administration of funding programs and other projects.

Key Responsibilities for this Position:

Finance Support:

  • Accounting responsibilities, including handling of accounts receivable and accounts payable
  • Preparation of monthly and yearly financial statements, tax remittances and claims
  • Prepare, coordinate and record bank deposits
  • Prepare and process payroll for approval by the Executive Director
  • Prepare monthly bank and credit card reconciliations for approval by the Executive Director
  • Client support – assume the full cycle accounting role for other client organizations
  • Work with external parties including stakeholders and auditors, as required
  • Produce financial reports and forecasts, as required
  • Invoice and collect of membership fees and subscriptions (new and renewals), as required

Administration:

  • Provide input into process changes or enhancements to increase efficiencies
  • Internal company courier and mail (Canada Post) management including coordinating delivery to internal staff members, holiday holds and other logistics
  • Manage all financial records, both analogue and digital, including contracts and related correspondence
  • Assisting with staff and volunteer travel arrangements
  • Filing of corporate documentation
  • Managing inventory of office supplies
  • All staff contribute to answering and directing phone calls and emails. 
  • Working directly with the Executive director to coordinate all financial information and arrangements for programs and services
  • Maintaining high level of discretion, accuracy and confidentiality
Qualifications

  • Minimum college diploma in accounting or five-years directly related accounting experience
  • Relevant accounting designation or working towards one (CPA) or equivalent
  • Substantial experience and knowledge of accounting tools/software, specifically SAGE with Payroll module
  • Proficient with Microsoft Office, specifically Outlook, Word and Excel
  • Strong business and financial acumen
  • Accountability and dependability
  • Thorough understanding of not-for-profit organizations
  • Effective communication skills for interactions with colleagues and clients by telephone and email
  • Effective interpersonal skills for working in a small team environment
  • Exceptional organizational skills
  • This person should also be completely comfortable with electronic communication tools such as Slack, Zoom and VoIP telephone.  
  • This position requires fluency in English and at a minimum basic conversational French skills.

Additional Information

  • 35 hours per week, within regular business hours 8:00 am to 5:00 pm Eastern
  • Work schedule will be developed in collaboration with the Executive Director.

During the current pandemic, employees and contractors are required to work remotely from home but may return at least some of the time, or all of the time, to the office in the future. Remote work has become part of our flexible working arrangements and it may be available in the future (tbd).

For remote work, employees and contractors must have a location within their residence that is secure, confidential, and safe from hazards that may cause injury or work disruptions. Employees and contractors must have access to a suitable desk, chair and working area.  A computer, software, webcam, headset with microphone, and up-to-date anti-virus software will be provided and maintained for this role and this equipment remains the property of the company.

As a condition of employment, the individuals must have reliable broadband Internet service and have reliable telephone service at their place of work.
