Responding to Incidents

  • Intakes privacy incidents, inquiries, complaints, requests for corrections, requests for access, in a timely manner 
  • Supports the tracking, investigation and resolution of privacy complaints and incidents and recommends corrective action to avoid repeated incidents
  • Assists to ensure compliance with existing processes (QA, MasterControl, CAPA, etc)
  • Provides operational expertise and responds to inquiries and requests for information on privacy-related organizational practices from internal and external stakeholders

Supporting the Privacy Team

  • Communicates and escalates to senior members of the team for comment, assistance or handoff situations involving confirmed non-compliance, incidents, and communication with senior management, external stakeholders/clients and any provincial or federal Privacy Commissioner
  • Supports the implementation of major operational changes
  • Maintains and organizes documentation required for incident management, patient responses, compliance status
  • Compiles annual and ad hoc reports on compliance status and Privacy office activities

Developing Policy

  • Identifies areas where modified policies or procedures are required to maintain compliance or would provide significant benefit 
  • Provides briefing notes for decision-making
  • Supports policy and procedure changes, including compliance with existing processes


  • Supports the Privacy Officer to benchmark, create, implement and evaluate the training plan
  • Prepares communications & training materials
  • Conducts training sessions (e.g. new employee orientation, training refresh, in-services)
  • Maintains intranet/internet pages

Privacy Program Development and Maintenance

  • Supports the development and implementation of industry-leading Privacy Program components (e.g., governance framework, policies, procedures, training, assessments, contract reviews, privacy controls and reporting) within Innomar with both long and short-term responsibilities that impact multiple teams and the organization as a whole.
  • Acts as a member of the Privacy Committee, organizing committee meetings, preparing agenda in consultation with stakeholders, preparing and circulating minutes
  • Builds and fosters a culture of privacy within Innomar, including training and communications with all departments


  • Conducts audits of Privacy Program operations as needed to investigate incidents or respond to concerns by clients, patients or employees
  • Audits PSP program operations regularly
  • Produces audit reports

Maintaining Compliance

  • Supports the review of new or revised government healthcare laws and regulations pertaining to privacy
  • Receives or seeks out information on trends, standards, and best practices
  • Fosters ongoing relationships with internal and external stakeholders
  • Engages in ongoing personal development activities regarding privacy

Internal Documents

  • In coordination with the Law Clerk, receive and maintain all company contracts and coordinate contract management via in-house tools while ensuring legal documents have been fully executed prior to filing and storage 
  • Assist in requests to find/review legal documents 
  • The Manager, Privacy Office Operations and Internal Documents will also be assigned other duties and tasks as required from time to time.

What your background should look like 


  • Post secondary degree in science, management or a related discipline or equivalent combination of education and experience.
  • 3-5 years experience in healthcare, pharmaceutical, or biotechnology industry.
  • 3-5 years’ of working experience in Privacy Operations, preferably within a complex healthcare environment.
  • Knowledge in and the ability to apply the principles of project management and change management.
  • Certificate in CIPP preferred.
  • Strong knowledge of Canadian privacy laws and knowledge of international laws and privacy trends. 
  • Proficiency with MS Word and Excel.
  • Bilingual (French & English) considered an asset.
  • Experience working in a legal environment an asset.
