This Executive Assistant position might be right for you if you want to work at a large, dynamic government organization! Candidates should be professional and highly skilled, and ready to maintain various administrative duties for executive management. This great opportunity is a full-time role working remotely in Toronto. As the Executive Assistant, you will be the key support with a high level of responsibilities while primarily working with the CEO, Chief of Staff and the Executive Office team. The responsibilities for the Executive Assistant may include, but is not limited to the following:

  • Managing workflow for CEO and Chief of Staff
  • Improving, creating and maintaining proper information tracking systems, including electronic file systems
  • Organizing meeting logistical support, including ensuring the relevant documents are prepared and easily accessible with sufficient time for the CEO to prepare for meeting
  • Provides administrative support for assigned committees
  • Assist in the development of yearly department work plans and calendar activities to ensure alignment and effective execution of plans
  • Developing and modelling board and accurate knowledge of corporate polices, procedures, programs and organizational structures for other employees
  • Monitoring and processing expenses for the CEO and department
  • Help to maintain the department connected by sharing relevant information and documents
  • Committing to and exhibiting the values in all actions and behaviors, setting a high example for others within the organization
  • Assisting with onboarding new staff to the department

Qualifications:

  • 7 or more years of Executive Assistant experience
  • Extensive knowledge of Microsoft Office programs
  • Strong communication skills both verbally and written as well as the ability to communication effectively and respectfully
  • Experience in a government sector
  • High level of organization and attention to detail
  • Proficient writing and proofreading skills
  • Ability to complete work in a timely manner and exhibit a positive, productive and professional demeanor in all situations
  • Able to adapt and support organizational change and work with ambiguity
  • Ability to take initiative, utilizing critical thinking and problem-solving skills within minimal direction
