HR Business Partner

The HR Business Partner's main function is to be the resource for all managers in relation to all HR issues. This includes, but not limited to, guidance on employee relations, handling disciplinary issues, maintaining legal and policy compliance, assistance with on-boarding, documentation & records auditing, performance management and learning & development.

The opportunity:

  • Compliance
    • Ensure employees complete all mandatory trainings including new hire orientation, Preventing/Addressing Harassment & Discrimination, Internet Safety, etc. and are acknowledged & recorded correctly.
    • Create & conduct new management trainings for discipline and harassment
    • Deal with all disciplinary issues, write & track warnings, create Performance Improvement Plans
    • Conduct exit interviews, provide feedback and suggested changes to management
    • Receive & review 3, 6 & 12 month feedback reports
    • Provide Management with regular feedback and possible improvements/changes to policies and/or procedures
    • Create new policies and revise as required
    • Provide guidance to managers and supervisors regarding HR policy and process
    • Work closely with management and employees to design and implement programs to improve work relationships, build morale, and increase productivity and retention
    • Provides guidance and input on business unit restructures, workforce planning and succession planning

  • Employee Relations
    • Act as employee confidant for personal and professional matters
    • Maintain in-depth knowledge of legal requirements related to day-to-day management of employees, reducing legal risks and ensuring regulatory compliance alongside legal department as needed/required
    • Provide day-to-day performance management guidance to line management (e.g., coaching, counseling, career development, disciplinary actions). Bring important issues to the attention of the Director of HR
    • Send policy or procedure amendments, update Employee Handbooks, create forms & track acknowledgements as needed
    • Coach managers and supervisors on proper employee relation techniques, management efforts and company policy
    • Assist managers with disciplinary measures; act as a witness in warnings and termination meetings
    • Draft termination documentation and scripts

  • Learning and Development
    • Identify and coordinate training needs for business units and individual executive coaching needs
    • Conduct training for Australia, Asia and Europe employees (i.e.; Assertiveness, Harassment & Discrimination, Conflict Resolution)
    • Participate in evaluation and monitoring of training programs to ensure success and regulatory compliance. Follow up to ensure training objectives are met

  • Performance
    • Ensure timely completion of performance evaluations
    • Track goal achievement & progress
    • Follow up with Managers on new employee performance at 3 and 6 months
    • Determine any needed training or retraining

  • Health and Safety
    • Remain an active member of the Work Health and Safety committee
    • Monitor training requirements and renewals
    • Input and track accidents and injuries
    • Manage return to work and insurance claims

  • Auditing
    • Develop and conduct on-site and virtual HR related compliance audits, draft audit reports detailing results, improvements, and recommendations/solutions
    • Ensure all pre-employment processes, including background checks, physicals and drug tests are scheduled and up to date in system; coordinate random and renewal checks when required
    • Audit employee files to ensure all forms and agreements are completed and signed

  • Reporting & Analysis
    • Leverage HR data to identify areas where HR policy has not been applied consistently
    • Identify and report inconsistencies between policy and practice of the policy; identify stakeholders to develop, communicate and ensure implementation of policy and procedures across the organization
    • Work with payroll department to collect compensation and benefit statistics
    • Track trends, variances and outliers in HR related data

Required Skills:
  • Excellent communication and writing skills required; fluent English and French (oral & written)
  • Comfortable handling sensitive information & situations
  • Advanced interpersonal and mediation skills
  • At ease with numbers, formulas and data manipulation
  • Able to analyze and interpret figures and reports
  • Strong attention to detail required
  • Ability to catch small errors and question discrepancies
  • Strong work ethic, applies discretion in his/her work
  • Excellent organizational and time management skills
  • Knowledge of Microsoft Office (Word, Outlook, Excel) required
  • Knowledge of Canadian & US labour laws is considered a very strong asset

Required Experience:
  • Bachelor's degree in Human Resources or Industrial Relations required
  • Minimum five (5) years' experience in Human Resources
